3. Why we use it, and our lawful basis
| What we do | Lawful basis (UK GDPR) |
|---|---|
| Prepare and send your quote, and answer your questions about it | Steps you asked us to take before entering a contract |
| Book, carry out and invoice your cleans, hold your keys, send your photo report | Performance of our contract with you |
| Keep accounting and tax records | Legal obligation |
| Deal with complaints, re-cleans and insurance claims; keep our records accurate | Legitimate interests in running the business properly |
| Send you offers or news | Only with your separate consent, which you can withdraw at any time. Ticking the box on the quote form does not sign you up to marketing. |
4. Who we share it with
We do not sell your information. We share it only with services that help us run the business, under contracts that require them to protect it:
- Website hosting and form handling: [e.g. Netlify / Formspree]
- Email: [e.g. Google Workspace / Microsoft 365]
- Booking and invoicing software: [e.g. Xero / Jobber]
- Payment processing: [e.g. Stripe / SumUp]
- Our accountant and insurer, when needed
Our website loads fonts from Google Fonts, which means your browser sends your IP address to Google when the page loads. Google does not set cookies for this. We may also share information if the law requires it.
Some of these providers may store data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum to keep it protected.
5. How long we keep it
- Quote requests that do not lead to a booking: deleted after 12 months
- Customer records, invoices and payment records: 6 years after your last clean, as required for tax
- Key-safe codes and access notes: deleted within 30 days of your last clean; physical keys returned
- End-of-tenancy photo reports: 12 months after the clean, in case your agent or landlord queries it
6. Your rights
You can ask us to:
- Give you a copy of the information we hold about you
- Correct anything that is wrong
- Delete your information, where we no longer need to keep it
- Restrict or object to how we use it
- Send your information to you or another company in a usable format
- Stop using it for marketing, at any time
Email hello@finetouchcleaning.co.uk. We will reply within one month and there is no charge.
7. Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.
8. Keeping it safe
Keys are tagged with a code, never an address, and kept locked when not on a job. Customer records are kept in password-protected systems that only our office team can access. Cleaners see only the details they need for the job they are doing.
9. Changes
We will update this notice if anything changes and show the date at the top. Cookies are covered on our Cookies page.
